Community Club Meeting Minutes
Rolling Hills Ladies’ Community Club
General Meeting
January 18, 2024
Present: Kathy Holt, Susan MacKinnon, Betty Versteegen, Gerjan Stikker, Roxy Krause, Alicia Hemsing, Vivian Woodman, Joanne Lynch, Lacey Pfahl, Corien Versteegen, Lenie Jonker, Esther Halsema, Desirae Davidson.
Apologies: Tamara Skrove, Chantal Larose, Wendy Butkiewicz, Linda Fairhurst, Katharina Banman, Kimberley Fletcher, Nelly Wiebe, Tammy Hillmer, Tina Wolf, Anna Penner, Mariana Meeuwsen, Christine Weenekers, Ingrid Tilma.
Susan called the meeting to order at 7:15PM and Lacey approved the agenda as read.
Desirae read the minutes from the past meeting and moved they be adopted as read. Vivian adopted the minutes as read.
Old Business
Reading Reports of Committees- Desirae adopted all reports as read.
President Report- A summary was given of the past year. See attached sheet for full details.
Treasurer Report- Susan read the treasurer report. See attached sheet for full details.
Hall Bookings- Corien stated the Hall had been booked 38 times in the past year. See the attached sheet for full details.
Catering Report- Please see Presidents report for the full list of events that we were part of.
Welcoming Committee- Gerjan stated that 5 families were visited in the past year. They get a $25.00 gift card to the Arena/ Golf Course and other memorabilia/information about the community.
Card Committee- Linda sent 15 cards last year- 10 sympathy and 5 get well cards
The Garden Club asked for $500.00. Kathy motioned to donate $500.00 to the Garden Club and Vivian seconded this. Carried
Kathy motioned to donate $1000.00 to both the Brooks and District Health Foundation and HALO and Vivian seconded this. Carried

Desirae put a message out on the Whats-App so see if there is any interest in the two vacant positions.
Next Meeting April 17, 2024 starting @ 9 AM with cleaning and meeting/lunch to follow.
Lacey moved to adjourn the meeting at 8:14 PM.
Snacks were provided by Desirae and Alicia
Raffle was provided by Esther and won by Gerjan.
We ended with Cuban Cooking with Roxy Krause and got to sample a really yummy authentic Cuban Arroz Congris recipe with pork. It was enjoyed by all.

Old Business
- Discussed that all Executive will be present at all meetings going forward.
- Discussed fees again for Community Club- $5.00 a plate for members and $10.00 for non members. This price is with the food provided, and the cost of serving and cleaning up the Hall/ kitchen afterwards. Still assessing if someone just has us serve/clean, how that should be charged out.
- Vivian made a motion to give Tammy Hillmer a $100.00 honorarium for her work on auditing the books. Joanne seconded this motion. Carried.
- Cookies went well this year.
- Susan is going to look into our insurance, as we are paying $750.00 a year for this, and may already be covered under the Hall Board/Ag Society insurance.
- Susan is also looking into changing our type of account at the ATB as there are lots of service charges on this account.
- We discussed no more printing of paper copes of the program due to cost. We will continue to e-mail them out, and if someone would prefer a paper copy we will provide one.
